Business App Permissions: Owner, Staff & Customer Roles

Plan who can view, edit, approve and export business app records. A practical permissions guide for Lucknow owners, staff and customers.

Start with actions, not just role names

A business app needs clear answers to four questions: who can perform an action, on which records, under what conditions and with whose approval?

Owner, staff and customer are useful labels, but not a complete permission plan. Staff may need to update assigned orders without seeing every customer. A customer may download their own receipt without accessing someone else’s.

Write these boundaries before development. They affect the app, backend, admin panel and testing.

Separate sign-in from permission

Signing in establishes identity. Permission checks decide what that identity can do. A valid account does not automatically authorise access to an invoice, price change or customer export.

OWASP distinguishes authentication from authorization and recommends denying access unless specifically allowed. Adding a login screen does not implement every access rule. See OWASP’s access-control guidance.

Ask your developer to demonstrate both permitted actions and blocked actions. A successful login demonstration alone is insufficient for accepting a system that holds private records.

List records and actions

Identify the information your app holds: profiles, requests, orders, payments, receipts, inventory, assignments, documents, reports and settings.

For each record, separate view, create, edit, approve, cancel, delete and export. Can manage customers is too vague: viewing a contact number, correcting a name and exporting the entire database are different permissions.

The app project brief guide helps organise these decisions before requesting a quotation.

Include field-level questions where necessary. A technician may need a job’s address and service notes without needing unrelated payment details. Permission should follow the task rather than convenience.

Create a small permission matrix

Use a table or checklist your team can review without code. An illustrative starting point is:

For every action, specify whether the user sees all business records, assigned records or their own records. These limits matter as much as the role name.

This is not a universal specification. Your business may need different boundaries. Review it with the people who actually perform the tasks.

Match staff access to responsibility

Small businesses often start with one person doing everything. As the team grows, separate duties where the workflow requires it.

Front-desk staff may create enquiries, operations staff update assigned work, a manager approve exceptional discounts and an authorised administrator control access.

Do not add roles just to make the dashboard look advanced. Each role adds decisions, support questions and tests. Begin with the smallest set reflecting genuine responsibilities.

For operational context, read the custom admin panel and business software guide.

Enforce rules beyond visible buttons

Hiding Export improves the interface but does not secure the action. The server must validate whether the current user may perform it.

OWASP recommends authorization checks on every request and least privilege. Ask for direct-access tests as well as normal navigation tests. OWASP’s Authorization Cheat Sheet provides implementation guidance.

A customer must not obtain another receipt by changing an identifier. Staff must not gain owner powers by submitting a different role value. The owner need not inspect every code line, but these scenarios should appear in acceptance checks.

An illustrative Lucknow example

Planning example—not an Appluk client case study: a Lucknow equipment-service business builds an app for repair requests.

Customers submit requests and view their own progress. Technicians update assigned jobs. An operations manager allocates work. The owner reviews authorised business reports.

A technician needs enough information to complete a job. That does not automatically require access to every customer, full financial reports or staff permissions.

The scope must also explain reassignment. The original technician’s access may need to change while the new technician receives enough context to continue.

Decide how access changes

Plan staff departure, changed duties, deactivated customers, transferred work, temporary access and administrator mistakes.

Define who can change permissions and what evidence is retained. Avoid a shared staff login when individual accountability is required.

An activity record for sensitive actions should identify the actor, action and affected record without copying unnecessary private content into logs. Define who can review that record and how long it is needed.

Also discuss active sessions after access removal. The intended restriction should apply to the operational system, not only the next time somebody chooses to sign in.

Test denial and success

A meaningful acceptance checklist includes:

Check the Android app and web admin together. Restriction in one interface is incomplete if the same account can bypass it elsewhere.

Appluk’s app development service can be scoped around these rules and acceptance checks.

Review permissions when features change

A new report, bulk action or download route can introduce a new access path. Review it against the existing matrix before release.

Keep the matrix with the handover documentation. It helps future developers understand the intended behaviour and prevents a convenient shortcut from quietly expanding access.

Frequently asked questions

Does each employee need a different role?

No. People with the same responsibilities can share a role while retaining individual accounts. Add roles when boundaries genuinely differ.

Can staff see assigned records only?

Yes, when designed and enforced throughout the system. Put the rule in scope and test reassignment.

Is hiding an admin menu sufficient?

No. The server must reject unauthorised actions reached through other routes.

Should customers delete records?

Decide record by record. Some workflows need cancellation, correction or a deletion request rather than unrestricted history removal.

When should permissions be reviewed?

When duties change, features are added or access is handed over. Include permission review in release acceptance.
